How Yatri School handles the information of schools, staff, parents and students. Yatri School is run by Yatri Cloud.
Last updated 18 Oct 2026
01Who is responsible
Each school decides what it records about its students, parents and staff, and why. Under India's Digital Personal Data Protection Act, 2023, the school is the data fiduciary for that information.
Yatri Cloud runs the software and stores the information for the school. We use it only to provide Yatri School to that school. For the details you give us when you create an account or write to us, Yatri Cloud is responsible.
02What we keep
Schools enter this information. We keep only what the screens ask for.
- School details: name, board, address, phone, email, principal's name and logo.
- Staff: name, email, phone, designation, employee number and the date they joined.
- Students: name, admission number and date, class, date of birth, gender, address, APAAR ID, whether admitted under RTE, and notes the school adds.
- Parents: name, phone, email and occupation.
- School records: attendance, marks and results, fees, payments and receipts, and notices.
- A log of changes to student, staff and fee records, with who made each change and when.
- Sign-in details: email address and password. Passwords are stored in a form that cannot be read back, by us or anyone else.
When a parent pays online, the card, UPI or bank details are entered on Razorpay's page. We receive only the payment reference, the amount and whether it went through.
03Why we use it
- To run the school's records: attendance, exams, fees and receipts.
- To show parents their own children's attendance, fees, receipts and results.
- To sign people in and keep accounts secure.
- To answer questions sent to our support email.
04What we never do
- We do not sell information or share it with advertisers.
- We do not show advertising in the app.
- We do not track children or build profiles of them.
- We do not use one school's records for another school.
05Who can see it
- Inside a school: the owner and admins see everything. Accountants see fees. Teachers see their own classes. Parents see only their own children.
- Each school's records are kept apart from every other school's by the database itself, not only by the screens.
- Our team looks at a school's records only when the school asks for help, or to fix a fault.
We use these companies to run the service:
- Supabase, for the database, sign-in and stored logos.
- Vercel, to host the website.
- Razorpay, for online fee payments.
Their data centres may be outside India. They handle the information only to provide their service to us.
06Students' information
Most students are under 18. The school collects their details from parents at admission and is responsible for getting the parents' consent to keep them in Yatri School. Parents who have a question about their child's record should first speak to the school. They can also write to us.
07How we keep it safe
- All pages are served over HTTPS.
- Every screen checks who is signed in and what their role allows before showing anything.
- Money records cannot be changed in place. Corrections are added as new entries, so there is always a trail.
- Online payments are confirmed with Razorpay's signature before a fee is marked paid.
08Your rights
You can ask to see the information held about you, to correct it, or to delete it. Staff and parents should ask their school first, because the school decides what it keeps. You can also write to us at info@yatricloud.com.
When a school stops using Yatri School, it can ask us for a copy of its records and then ask us to delete them.
09Complaints and contact
For any privacy question or complaint, write to info@yatricloud.com. If you are not satisfied with our reply, you can complain to the Data Protection Board of India.
If we change this policy, we will update the date at the top of this page.
